This Privacy Policy explains how the VidyaERP mobile application
(the “App”, package com.mexilet.vidyaerp) collects, uses, and
protects information. VidyaERP is a school management platform used by school
administrators, teachers, parents, and students. The App is provided as part of a
school’s management system; for the data described below, the school is the data
controller and VidyaERP processes data on the school’s behalf.
1. Information We Collect
Account & authentication
- Login credentials — your email address and password are used to sign you in to your school’s VidyaERP server. Your login session identifier is stored only on your device to keep you signed in.
- Profile & role — your name, role (admin, teacher, parent, or student), and the school/class you belong to.
School records
- Academic and operational data shown in the App, such as attendance, grades and report cards, fee records and payment status, timetables, assignments, notices and events. Parents may view records relating to their own children; students may view their own records.
Content you provide
- Images — if you choose to upload a photo (for example a profile picture or an attachment), the App accesses your device camera or photo library only for the file you select, and uploads it to your school’s server.
Device & push notifications
- Push token — the App uses Firebase Cloud Messaging (FCM) to deliver notifications. A device registration token is generated to send notifications to your device. We do not use it to identify you personally beyond delivering notifications.
2. How We Use Information
- To authenticate you and provide the dashboards and features for your role.
- To display the school information relevant to you (attendance, fees, results, etc.).
- To send notifications (e.g. notices, attendance, fee reminders, announcements).
- To maintain security and the proper functioning of the service.
3. How Information Is Shared
- Your school — data is hosted on and accessible through your school’s VidyaERP server.
- Google Firebase (Cloud Messaging) — used solely to deliver push notifications. See Google’s Firebase Privacy and Google Privacy Policy.
- We do not sell your personal information and do not share it with advertisers.
4. Children’s Privacy
VidyaERP is used in an educational setting and may process information about students, including minors, on behalf of the school. Such data is provided and managed under the school’s authority. The App is intended to be used by school staff, parents, and students through accounts issued by the school. If you believe a child’s data has been provided without proper authority, please contact us so it can be addressed.
5. Data Retention
School records are retained by your school for as long as needed to provide the service and to meet the school’s legal and administrative requirements. Your locally stored session is removed from your device when you sign out.
6. Security
Data is transmitted to the school server over encrypted HTTPS connections. While we take reasonable measures to protect information, no method of transmission or storage is 100% secure.
7. Your Choices & Rights
- You can sign out at any time to remove the stored session from your device.
- You can disable notifications in your device settings.
- To access, correct, or delete your personal data, contact your school administrator or use the contact below.
8. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date above reflects the latest revision.
